Job Description – Administrative Assistant
Direct Supervisor : Pastor

Status: 20 hours per week – 9:00 a.m. – 2:00 p.m. Tuesday – Friday
 Job Summary
The purpose of this position is to support the mission of the church through outstanding administrative support of the church staff and programs. This will require excellent interpersonal skills as you represent the congregation to the greater community; cooperative teamwork with a diverse and high-energy team of staff and volunteers; and provide outstanding computer, verbal, and hand-written skills.

 Responsibilities

  • Be trustworthy, dependable, pleasant, and able to keep things in confidence.
  • Daily:
    • Check voicemail/answering machine for messages
    • Check facebook for messages/advertise church and communicate as required through social media
    • Check mail and distribute
    • Make a copy of bills to keep on record in the office
    • Answer the telephone and direct callers to appropriate staff members, programs, or resources
    • Welcome members and guests to the facility and assist with needs
    • Manage the church calendar and schedule events in our facilities
    • Manage the computerized database of church members and records
    • File records and information so that it can be located for later retrieval
  • Weekly:
    • Prepare and print bulletins for both 9AM, 10AM, and 11AM church worship services
    • Prepare bulletins for special events
    • Record attendance from pew pads weekly
    • Run virus scans on the computer with MacAfee, then defrag and optimize/back-up Servant Keeper program
    • Send reminder postcards to committee members
  • Monthly:
    • Prepare newsletters for mailing
    • Mail out youth calendars
    • Evangelism reports due monthly online
    • Meet other secretaries for lunch
    • *Inventory and purchase needed kitchen supplies
  • As needed:
    • Order office supplies
    • Place orders as requested from others
    • Good Samaritan – Get information on the person asking for help, talk to treasurer add/or pastor to make decision to help or not
    • Create and maintain the annual end-of-year and charge conference reports
    • Participate in training events as necessary
 Qualifications
  • Prior experience performing as an administrative assistant and similar position
  • Compentant in use of computers, MS Word, MS Publisher, Quickbooks, office copiers, and equipment
 Physical Requirements
  • Ability to see well and hear well in person and on the telephone
  • Ability to lift up to 35 lbs when needed
  • Casual business attire, modest in nature
 
Compensation
  • Salary (Hourly) – $16.00/hr which may be increased at the annual evaluation of job performance
  • Training expenses as needed
